As a business owner, you want to maintain a clear overview of your data and save time. However, this can get complicated when working with different systems, such as accounting, calendars, payment providers, and other software tools. i-Reserve is a smart reservation system that not only simplifies your work but also ensures that all your systems work seamlessly together. How? By using convenient links and integrations. Read all about these links and integrations below.

What makes links so important?

But first, what makes these integrations so important? Every system has its own way of recording data. Think, for example, of customer information, payments, or reservations. If these systems do not work together, you run the risk of duplicate work, errors, or a lack of overview. Integrations ensure that data is automatically exchanged between your programs. This not only saves time but also ensures that data is always up to date.
Which integrations does the i-Reserve reservation system?
In our reservation system, there are four ways to link systems together. Each type comes with its own benefits and applications, so you can choose what best suits your company.

1. Native links

Native integrations are ready-to-use built into the i-Reserve reservation system and are therefore easy to use. Think, for example, of integrations with payment providers or calendars. You only need to configure them
, and i-Reserve does the rest.

Examples of native connections:

Native integrations are very convenient because they're quick and easy to use, requiring no technical expertise. This makes them ideal for companies that want to get started quickly. The only drawback is that customization options are somewhat limited compared to other integration types.

2. Import/export links

Import/export allows you to manually transfer data between i-Reserve and other systems. Suppose you want to export customer information or reservations to an Excel file for your accounting. Or conversely, you want to import customer data into i-Reserve.
Import/export integrations are therefore ideal for situations where you need to exchange data occasionally and they work well for simple applications. The downside, however, is that these integrations are not fully automated, meaning manual work is still required during the process.

3. API connections

An API is the ultimate bridge between systems. With an API integration, you can automatically share data between i-Reserve and other software, and fully customize it to your needs.
A fully automated solution offers many advantages. It saves a significant amount of time because processes run automatically, and it's also very flexible, making it easy to adapt to the specific needs of your business. However, it's important to note that these options often require technical expertise or the assistance of a developer to set everything up properly.

4. Integration platforms such as MS Flow and Zapier

If you want to connect multiple systems simultaneously or build complex workflows, integration platforms are an ideal solution. You can set up triggers and actions using tools such as MS Flow and Zapier. For example, as soon as a reservation is made, it is immediately forwarded to both the calendar and the accounting system.
Integration platforms offer a lot of flexibility and are ideal for complex connections, especially if you want to connect multiple systems at once. They make it possible to align everything efficiently. The disadvantage, however, is that setting them up can take some time and can sometimes be more complicated than other options.

How does system linking work?

The principle behind the different couplings is simple and can be explained in three steps:

1. Triggers – It starts with an event

A trigger is an event in a program that sets something in motion. For example:
A customer making a reservation.
Someone changing their address.
This event sends a signal to the program. The program recognizes the trigger and knows what to do.

2. Actions – Performing tasks

An action is what the program subsequently does based on the trigger. For example:
The platform instructs the CRM system (a customer management system) to create a new customer.
In doing so, it sends data along, such as the name and email address. In response, the CRM sends back a customer number.
Triggers and actions work together to allow data to travel smoothly between programs.

Step 3. Mapping – Smart data linking

Often, different systems use different ways to store data. Therefore, the data must first be matched. This is where mapping comes in. Mapping means determining where data from one program should end up in another. This prevents errors and ensures that systems communicate well with each other.

Example:
Suppose a customer books a tour. The reservation system contains data such as:

  • The name of the customer.
  • The date of the tour.
  • The description of the tour.

This reservation needs to be converted into a calendar item for the employee. But not everyone uses the system the same way:

  • User A wants the appointment title to be the customer's name.
  • User B wants the tour description to be used as the title.

With mapping you can set this up once, so that everyone sees the correct information in the agenda.

What are the benefits of connected systems?

A well-connected system offers enormous benefits for your business. It saves time because everything is processed automatically and minimizes errors, as manual entry and duplicate work are no longer necessary. Moreover, it ensures that you always have a complete overview, as data is constantly kept up to date. Furthermore, with the flexible configuration options, you can tailor the connections and workflows precisely to what your business needs most.
